We are seeking an experienced and skilled Executive Secretary to join our team in Darwin. This is a full-time permanent opportunity with a competitive salary package.

About Our Client

Our client is a leading law firm with offices across Australia, providing exceptional legal advice to commercial and government clients. We are looking for a highly organized and efficient Executive Secretary to support our Partners in the Darwin Corporate and Commercial Practice Group.

Key Responsibilities

  • Provide high-level administrative support to our Partners, including reporting requirements and meeting administration needs.
  • Draft and type correspondence and documents, maintaining accurate and up-to-date files.
  • Assist with photocopying, faxing, binding, and collation of documents.
  • Maintain daily file reminders and calendars, arranging internal and external meetings as needed.
  • Process billings and related accounts administration.
  • Support debtor collection activities as directed.
  • Conduct research, draft documents, attend meetings, and liaise with clients on various Paralegal duties.
  • Work collaboratively with other staff to achieve set KPIs through effective time management and prioritization.
  • Proactively provide support to other staff members when needed.
  • Promote excellent communication skills when interacting with clients and external parties.

Requirements

  • Demonstrate professionalism and provide high-end secretarial administration support.
  • Excellent organizational and time management skills, with well-developed oral and written communication skills.
  • Attention to detail and ability to maintain confidentiality.
  • Professional phone manner and communication skills.
  • Experience working in an office setting with computers, phones, and email management.
