Your Role

As an Administration Coordinator, you will play a crucial role in supporting key customer and supplier accounts by ensuring accurate and timely processing of contract data in SAP. You will communicate effectively with customers, suppliers, and traders to provide updates on order statuses and facilitate seamless transactions.

Main Responsibilities

  1. Order Management: Manage creation and maintenance of customer and supplier orders in SAP.
  2. Deal Cost Capture: Capture deal cost details and process contract authorizations.
  3. Contract Processing: Generate and send sales contracts/confirmations and update shipping details.
  4. Shipping Coordination: Coordinate vessel bookings, organize cargo surveys, and maintain shipping dates.
  5. Customer Communication: Communicate order statuses to customers and liaise with suppliers for updates.
  6. Documentation Receipt: Ensure timely receipt of shipping documents and process goods receipts in SAP.
  7. Financial Transactions: Issue tax invoices, complete customer credit checks, and prepare weekly JIT reports.

Your Skills and Experience

  • Results Orientation: Strong results orientation and clear communication skills.
  • Teamwork: Ability to thrive in a fast-paced, high-volume environment and work collaboratively.
  • Organizational Skills: Excellent organizational skills with a focus on accuracy and data integrity.
  • Adaptability: Willingness to learn and adapt to new challenges.
  • Experience: Minimum of 3 years' experience in Administration or similar role, with customer support or client service experience.
  • Industry Knowledge: Experience in shipping and international trade beneficial, familiarity with Operations, Logistics, and Supply Chain Management.
