Event Travel Logistics Coordinator

The Event Travel Logistics Coordinator will play a crucial role in ensuring the smooth execution of a large-scale event. This position involves coordinating travel logistics, managing guest travel arrangements, and overseeing on-site logistics.

Key Responsibilities:

  • Coordinate with external travel agents to arrange flights and accommodations.
  • Plan and book ground transportation requirements for guests.
  • Manage and distribute detailed itineraries to all guests.
  • Respond to guest travel enquiries before and during the event.
  • Design and produce travel-related assets such as luggage tags and airport signage.
  • Send and monitor invitations and RSVP lists, tracking guest responses and preferences.
  • Coordinate and manage all guest logistics during the event.
  • Engage, brief, and manage the on-site travel logistics team.
  • Oversee airport arrivals and departures, including meet-and-greet services.
  • Manage luggage organisation and transportation.
  • Handle client and guest travel enquiries or changes on-site.
  • Manage relationships with travel suppliers such as travel agencies, coach companies, and hotels.
  • Reconcile travel arrangements and costs.
  • Provide final reporting on travel logistics and outcomes.

Candidate Requirements:

  • Proven experience in coordinating travel logistics, preferably within the events industry.
  • Excellent organisational skills, attention to detail, and ability to manage multiple suppliers and moving parts under tight timelines.
  • Strong skills in end-to-end travel coordination, including flights, hotels, ground transport, luggage, and guest itineraries.
  • Ability to effectively communicate with various stakeholders, including clients, suppliers, and colleagues.
  • Experience in hotel & accommodation management, including handling large room blocks, room lists, room drops, and check-in / check-out logistics.
  • Ability to work effectively in a fast-paced environment and adapt to changing circumstances.
  • Strong analytical and problem-solving skills to resolve logistical issues efficiently.
