Administrative Support Specialist
We are seeking an experienced Administrative Support Specialist to provide comprehensive administrative support to our Head of Division. The successful candidate will be responsible for maintaining and updating the HoD's calendar, scheduling meetings, and providing timely notifications.
Key Responsibilities:
- Calendar Management: Maintain and update the HoD's calendar, schedule meetings, and provide timely notifications.
- Email Oversight: Monitor and categorize the HoD's inbox, respond to emails, and manage meeting requests.
- Clearance Tracking: Track and manage clearance requests for the HoD, schedule reviews, and follow up on approaching deadlines.
- Financial Administration: Handle travel bookings, reconcile expenses, and manage receipts in Expense8.
- Daily Materials Preparation: Prepare and update daily folders with necessary materials, including a printed calendar and digital files in OneNote.
Requirements:
- Demonstrated experience providing high-level administrative support in a fast-paced environment.
- Experience working in a senior manager's office in the public or private sectors.
- Good knowledge of the Microsoft Office suite of applications.
- High level of discretion, confidentiality, and good judgment.
