About the Role

We are seeking an experienced Administrative Assistant to provide high-level support to a busy Surgeon in a dynamic medical practice.

Key Responsibilities
  • Manage Incoming Inquiries: Respond to online queries and provide timely assistance to patients and stakeholders.
  • Coordinate Appointments and Procedures: Book and schedule appointments, procedures, and surgeries with hospitals and medical facilities.
  • Liaise with Medical Staff: Communicate effectively with hospitals, nursing staff, and other medical professionals to ensure seamless patient care.
  • Manage Patient Data and Correspondence: Maintain accurate and confidential patient records, and prepare correspondence as needed.
  • Prepare Theatre Bookings and Quotations: Coordinate theatre bookings and prepare quotations for patient surgical procedures.
  • Manage Outstanding Accounts: Oversee the management of outstanding accounts and ensure timely payment.
  • Order Office Supplies and Manage Inventory: Procure office supplies and manage inventory to maintain a well-stocked and efficient office environment.
  • Banking and Financial Management: Handle banking and financial tasks, including reconciliations and reporting.
Requirements
  • Previous Experience: Proven experience working in a specialist medical practice or similar environment.
  • Teamwork and Communication: Ability to work effectively in a small team and communicate with medical staff, patients, and stakeholders.
  • Organizational and Time Management: Demonstrated ability to multitask, prioritize tasks, and manage time efficiently.
  • Interpersonal and Customer Service Skills: Exceptional interpersonal and customer service skills, with a focus on providing excellent patient care.
  • Technical Skills: Proficiency in using Genie and Apple Mac computers, as well as other relevant software and systems.
