Job Description

We are seeking a highly organized and detail-oriented Event Coordinator to join our team at Novotel Barossa Valley Resort.

Responsibilities:
  • Coordinate and execute events, ensuring exceptional service and satisfaction for all guests.
  • Assist in maintaining the conference database of key contacts and clients.
  • Prepare and follow up on conference proposals with the Sales Executive.
  • Provide assistance in formulating quotations for conference proposals covering venue, function, menu, and accommodation costs.
  • Complete organization of conference activity and events from confirmation to post-event follow-up to ensure client satisfaction.
  • Coordinate and host familiarization and site inspection activities, including follow-up.
  • Produce conference collateral material, such as conference kits and direct mail pieces, in liaison with the Director of Sales and Marketing.
  • Attend and actively participate in weekly Banquets Event Order meetings and sales meetings, respecting confidentiality.
  • Assist in managing food and beverage service within conferencing and outside catering areas.
  • Ensure high levels of cleaning and maintenance of conference areas, back-of-house facilities, tableware, utensils, and equipment used by conferencing.
  • Liaise regularly with Maintenance to complete requests quickly, prioritizing guest needs.
  • Coordinate between conferencing and other relevant departments to ensure conference preparations have been made.
Requirements:
  • A hospitality professional with previous experience in events.
  • A creative problem solver.
  • Organized, detail-oriented, and able to juggle multiple projects and tasks.
Estimated Salary: $65,000 - $80,000 per annum
