About the Role

We are seeking an experienced Business Administration Coordinator to join our team in Heatherbrae. As a key member of our administration team, you will be responsible for providing high-level administrative support to our site operations.

Key Responsibilities:

  • General administration duties: You will be responsible for performing general administration tasks including reception duties, mail, filing, minute taking and data entry.
  • Inputting data: You will need to input delivery dockets, orders, subcontractors and invoices into our job costing system.
  • Invoice review: You will be required to review invoices for reasonableness and ensure that authorisation is in accordance with authority levels.
  • Purchasing goods: You will be responsible for purchasing goods for site (excluding permanent materials or engineered products).
  • Maintaining records: You will need to maintain vehicle registers and logistics, as well as plant and equipment registers.
  • Project leave register: You will be responsible for updating and maintaining project leave registers.
  • Valuation of claims: You will assist with the valuation of monthly progress claims relating to simple subcontracts and update subcontract payment schedules and prepare progress claim certificates.
  • Claim preparation: You will assist with claim preparation.
  • Cost forecasting: You will assist with project cost forecasting exercises.
  • Correspondence and reports: You will prepare and compile project correspondence, reports, minutes of meetings and presentations.
  • Organising events: You will organise project meetings and events.
  • Travel arrangements: You will coordinate site-based travel, accommodation and relocation arrangements.
  • Filing and records: You will establish and maintain electronic and hard copy files.
