Job Title: Senior Administrative ProfessionalThe role of the Senior Administrative Professional is to provide high-level administrative support to executive teams. This includes managing complex schedules, coordinating meetings and events, preparing governance documents, and performing various administrative tasks.This position requires a high degree of accuracy, attention to detail, and strong communication and interpersonal skills. The ideal candidate will have previous experience in an executive support role or equivalent, preferably in aged care, health, or not-for-profit sectors.Key Responsibilities:
  • Manage executive calendars, appointments, and meetings ensuring alignment with organizational priorities
  • Coordinate internal and external stakeholder meetings including scheduling, agenda preparation, documentation collation, and taking minutes with action items
  • Draft, review, and manage correspondence including emails, reports, and briefing documents
  • Prioritize and triage incoming requests to ensure executives focus on high-impact activities
  • Arrange travel logistics including accommodation, transport, and itineraries to support business activities
  • Organize meeting spaces including room bookings, setup technology support, and catering arrangements
  • Provide backup support to other executive team members when required ensuring seamless support across the organization
Stakeholder Engagement and Communication:
  • Act as a primary point of contact between executive teams and internal or external stakeholders
  • Develop positive working relationships with key stakeholders ensuring smooth coordination of projects and initiatives
  • Communicate effectively on behalf of the executive team when required ensuring clarity and professionalism
Skills and Qualifications:
  • High degree of accuracy and attention to detail
  • Strong communication and interpersonal skills
  • Ability to work autonomously and collaboratively demonstrating initiative and problem-solving skills
  • Advanced proficiency in Microsoft Office Suite
