Mental Health Administrative Coordinator

This role is responsible for providing exceptional administrative support to our mental health team. The successful candidate will be the central point of communication, handling incoming calls and directing callers to the appropriate staff member.
The Medical Receptionist will schedule appointments, maintain client records, and perform general office duties such as opening and distributing mail, typing, scanning, filing, and archiving.
They will also assist in closing and securing the building at the end of the day and ensure a clean and safe environment for staff and clients.
Key Responsibilities:
- Provide superior level of secretarial and reception services
- Medical Reception duties including taking incoming calls and directing the caller to the appropriate member of staff
- Appointment scheduling and maintenance of clients
- General Office duties including opening and distribution of mail typing, scanning, filing and archiving
- Assist in the closing and securing of the building at the end of the day
- General housekeeping to ensure a clean and safe environment for staff and clients
The ideal candidate will have excellent administration, time management, and organisational skills with attention to detail. They will possess well-developed customer service skills and knowledge of the mental health sector.
Previous experience in medical reception would be highly advantageous, as would proficiency in Microsoft Office and CRM applications. The ability to learn a new medical software program would also be an asset.
Essential Requirements:
- Excellent administration, time management, and organisational skills with attention to detail
- Well-developed customer service skills
- Knowledge of the mental health/not-for-profit sector with an ability to liaise with people from all backgrounds, government, non-government organisations, and community organisations
- Demonstrated communication, interpersonal, problem solving and organisational skills
- Proven record in working closely with and being a successful member of a multi-disciplinary team
