Job Summary: We are seeking a highly skilled and organized Administrative Supervisor to join our team at aus kitchen. The successful candidate will be responsible for the smooth operation of our showroom office, ensuring that all tasks are completed efficiently and effectively.

About the Role:

  • Manage the day-to-day activities of the office, including reception, administration, and support functions.
  • Provide exceptional customer service via phone, email, and in-person interactions.
  • Maintain accurate and up-to-date filing systems, both physical and digital.
  • Enter data into XERO accounting software with accuracy and attention to detail.
  • Perform word processing, electronic communication, telephone communication, filing, printing, and photocopying tasks as required by the charity team.
  • Assist in generating quotes and invoices using XERO.
  • Conduct basic marketing activities and provide regular reporting.
  • Create formal quotations and coordinate office activities to ensure efficiency and compliance with company policies.
  • Supervise administrative staff, assign tasks, and monitor performance.
  • Manage stock levels of office supplies and place orders when necessary.
  • Come out to manage phone calls, correspondence (email, letters, packages etc.), and coordinate suppliers/deliveries for projects.
  • Develop and update records and databases with personnel, financial, and other data.
  • Track office supplies and place orders when necessary.
  • Support colleagues whenever necessary.

Requirements:

  • Proven experience as an office administrator or relevant role.
  • Outstanding communication and interpersonal abilities.
  • Excellent organizational and leadership skills.
  • Familiarity with office management procedures and basic accounting principles.
  • Strong knowledge of MS Office and office management software (ERP).
  • Degree in secretarial studies is advantageous but not essential.

What We Offer:
