Business Operations Coordinator

">Based in Sydney, we are working with a leading global investment bank to find an Executive Assistant for an initial 12-month contract with potential for permanent placement.
The ideal candidate will have over 4+ years of experience as an EA/PA/TA, preferably in financial services or professional services firms, with strong communication skills.
Job Responsibilities:
- Maintain complex calendars and coordinate internal and external meetings, calls, and video conferences.
- Manage team diaries and contacts.
- Prioritize telephone answering and provide accurate and prompt messages and assistance.
- Coordinate travel arrangements for the team, including booking flights and accommodation, and maintaining knowledge of team whereabouts and client activities.
- Process expenses accurately and complete expense reports for the team each month.
- Assist bankers with general administration tasks, source research information, news, and project materials as required.
- Coordinate couriers and outgoing mail, distribute incoming mail.
- Perform general administration duties, including document production using Word, ad-hoc project work, and client entertainment.
- Work with the Events Manager and bankers to invite clients to events.
- Foster a cohesive work environment within the EA team and ensure effective support cover during lunch hours and other absences.
- Develop relationships with staff in offshore offices.
Requirements:
- Excellent written and verbal communication skills.
- Prior experience as an EA/PA/TA in investment banking or financial services.
- Ability to manage priorities and conflicting issues professionally.
- Proficiency in Microsoft Office programs.
- Extensive experience in admin roles in fast-paced environments.
We are looking for a highly skilled and experienced Executive Assistant to join our team. The successful candidate will have a strong background in administrative support, excellent communication skills, and the ability to work effectively in a dynamic environment.
We offer a competitive salary of $80,000 - $110,000 per annum, depending on experience, plus benefits.
