Job Title: Front Office Administrator
Key Responsibilities:- Provide proactive administrative support and handle front office duties.
- Ensure clients are serviced in a professional manner and in accordance with established policies and procedures.
The ideal candidate will take full ownership of the delivery of their key responsibilities, demonstrating exceptional organizational and communication skills.
**Concierge Services:**
- Greet all visitors to the office and accurately record visitor details.
- Arrange visitor and new starter desk allocations.
- Act as a liaison to assist with outsourced external services such as copy/print production/couriers.
- Provide initial IT support setup for guests and staff as required in the client suite and for visitor setup.
**Meeting Arrangements:**
- Organize practice/group meetings.
- Coordinate practice/group training sessions.
- Arrange other external/internal meeting arrangements.
**Administrative Tasks:**
- Process expense claims.
- Handle phone calls.
- Manage print/copy/bind/mail tasks.
**BD Support Services:**
- Assist business development teams with CV updates.
- Track business development activities.
- Enter InterAction data.
**Travel Arrangements:**
- Book flights.
- Arrange accommodation bookings.
**Office Assistance:**
- Maintain office equipment and ensure it is functioning properly.
- Manage office facilities and submit maintenance requests or arrange repairs.
**Projects:**
- Support project requirements as needed.
