The Office Concierge and Coordinator is a critical position that supports the success of our Sydney office. This dedicated individual will be responsible for managing various aspects of office operations, including concierge services, catering coordination, event planning, and daily office management.

This role requires a professional and positive approach to customer service, with a focus on promoting best practices for workplace excellence. As a member of the Workplace Services APAC team, you will work collaboratively with other stakeholders to achieve shared goals.

Key Responsibilities:

  • Greet and assist visitors and customers with professionalism and warmth, ensuring a positive first impression.
  • Coordinate day-to-day operations, maintaining office aesthetics and ensuring a high level of service for all employees.
  • Provide comprehensive assistance with concierge tasks, supporting regular onsite customer meetings and events.
  • Assist in coordinating food and catering services, ensuring timely delivery and quality standards are met.
  • Maintain office spaces, including meeting rooms, kitchen areas, and common areas, ensuring they are clean, organized, and well-maintained.
  • Efficiently handle mail correspondence, directing physical mail to appropriate recipients and processing incoming and outgoing mail and packages.
  • Oversee office supplies inventory, placing orders and ensuring timely delivery while maintaining accurate records and prioritizing waste reduction.
  • Effectively manage costs, ensuring alignment with budgetary guidelines.
  • Collaborate with stakeholders on WPS events team activities, events, and initiatives.
  • Work with landlords/vendors to maintain office space standards and compliance.
  • Provide general support to visitors and reception services as needed.
  • Respond to employee queries and manage incoming iOFFICE UKG Workplace tickets.
  • Ensure Health & Safety requirements are met, complying with local laws.
  • Assist with regional projects and oversee building security access cards management.
  • Process P-card/credit card transactions via Concur.
  • Support Accounts Payable with invoice management and provide necessary details.
  • Assist with IT-related tasks as needed.
  • Travel as required to support office or customer-related activities.
