We provide care primarily through hospitals, residential care homes and home-based care as well as services for dementia support, community palliative care, rehabilitation, positive aging and older persons' mental health.
The opportunity
This role will work with a small, dedicated team to facilitate a streamlined and timely process to assist in understanding resident needs, goals, and preferences and admission to our services which best meet their needs.
In partnership with service managers, this will require collaboration externally to ensure that our services are well known in the community, liaising with local healthcare professionals, home care services and other potential client sources to ensure a sales pipeline of referrals are being made and that a waitlist is maintained.
Key Focus Areas:
- Communicate clearly the services and benefits we offer to prospective residents and their representatives.
- Educate applicants / representatives on the costs associated with moving into residential aged care, and the different payment options that are available to them.
- Provide necessary information to residential managers to ensure the best possible decision can be made with respect to admission of new residents.
- Follow streamlined and timely processes in order to understand resident needs, goals and preferences and admit them to a service which best meets their needs.
This is a permanent on-site, full-time role based at our residential home with the flexibility to work in another location.
The role also supports our other sites and will require occasional travel with overnight stays.

Duties include
Internal and External Communication of Services
- Establish effective communication with prospective residents and their representatives.
- Establish relationships within the local team.
- Promotion and establishing relationships with other organisations in local clinical and social networks to facilitate clear referral pathways.
- Participate within a continuous quality improvement team environment.
Admission process
- Review occupancy levels and maintain targeted occupancy rates by actively managing the waiting list.
- Understand the financial implications vacancies and meeting occupancy targets.
- Manage enquiries and telephone calls for services within the area.
- Ensure prospective residents and their representative are given a tour and explanation of our Philosophy of Care and profiling process.
- Establish general suitability for the prospective resident. If suitable, liaise with Residential Home Manager to complete the Care Planning Assessment Tool (CPAT).
- Ensure all pre-admission documentation is signed and returned, in timely manner.
- Actively manage service waiting lists by maintaining and nurturing relationships with networks and residents on waitlists, providing regular updates throughout the sales funnel to service admission.
- Establish client agreements where residents and their representative clearly understand services and associated financial costs prior to admission.
- Update and maintain Salesforce and waitlists on an ongoing basis.
- Daily monitoring and weekly reporting of occupancy.
General Administration
- Conducting Quarterly surveys with our residents.
- Data Entry.

Who are you?
- Commitment to align with our values.
- At least 3 year's demonstrated experience in a busy administration role.
- Experience working in a sales capacity.
- Excellent communication skills, both written and oral.
- The ability to engage with external stakeholders and develop relationships.
- Ability to work independently and as part of a team.
- Empathy, compassion and patience with the ability to build rapport and trust.
- Financial acumen.
- Knowledge of Aged Care fees and charges and ability to apply this to the preparation of resident agreements – desirable.
- Experience working in the aged care sector - desirable.
- Salesforce experience - desirable.
