About the Role

We are seeking a highly organized and detail-oriented Sales Administrator to join our team at Gough Recruitment. As a Sales Administrator, you will play a crucial role in supporting our sales team in achieving their goals.

Key Responsibilities
  • Participate in weekly sales meetings and manage sales spreadsheets to ensure accurate and up-to-date information.
  • Assemble, prepare, and distribute Pre-Listing Kits to clients, showcasing properties in the best possible light.
  • Conduct thorough research on comparable sales history using industry-standard tools, such as Price Finder.
  • Create and organize proposed advertising schedules to maximize exposure for our clients' properties.
  • Input new listings into our sales system, Box + Dice, ensuring seamless data management.
  • Process new listing files for auctions, private sales, and other transactions, adhering to regulatory requirements.
  • Ensure accurate entry of all sale authority details in Box + Dice, maintaining data integrity.
  • Provide ad hoc support to the sales team, including preparing submissions, property reports, and marketing schedules.
  • Oversee Real Time Agent and Campaign Agent processes, ensuring timely and efficient communication.
  • Coordinate the receipt of sale deposits and advertising payments via secure payment methods.
  • Manage BPAY reference payments, maintaining accurate records.
  • Delegate tasks to the Reception/Sales Admin Assistant as necessary, promoting a collaborative work environment.
  • Review and process new listing files to ensure compliance with CAV regulations, including authority, advertising, and Consideration of Offers form.
  • Prepare and update the Statement of Information form for all sale properties throughout the campaign, adhering to compliance requirements.
  • Notify the CEO of any non-compliant files for follow-up with sales staff.
  • Provide relief coverage for reception duties, demonstrating flexibility and adaptability.
  • Supervise sales administration tasks handled by the Receptionist/Administration Assistant, ensuring seamless workflow.
Requirements
  • Proficient in Microsoft Office Suite, with excellent organizational and time management skills.
  • Familiarity with the Box + Dice sales system, with the ability to learn and adapt quickly.
  • Agents Representative certification (preferred but not required), demonstrating a strong understanding of industry regulations.
  • Strong attention to detail, with the ability to prioritize tasks and meet deadlines.
  • Excellent written and verbal communication skills, with the ability to effectively communicate with clients and colleagues.
  • Systems-oriented mindset, with the ability to multitask and manage multiple projects simultaneously.
  • Positive, mature, and driven outlook, with a strong commitment to delivering exceptional results.
