Event Planning Specialist

We are seeking an experienced Event Planning Specialist to join our team. As a key member of our events team, you will be responsible for planning, organizing, and executing high-profile wine exhibitions and tasting events.

Your primary focus will be on ensuring that every event exceeds expectations, from conceptualization to execution. You will work closely with internal departments to understand current needs and develop precise conference and event plans.

Key Responsibilities:

  1. Plan, organize, and promote company events to enhance brand awareness and market influence.
  2. Provide detailed proposals and professional advice on venue selection, equipment rental, catering services, and other event logistics.
  3. Communicate closely with relevant internal departments to understand current needs and develop precise conference and event plans.
  4. Arrange and coordinate all services for events, including venue setup, catering, signage, display design, audiovisual equipment, accommodation, and transportation.
  5. Manage the registration process for both internal and external participants, ensuring every event runs smoothly and efficiently.
  6. Determine the types and costs of services for events and conferences within established guidelines, ensuring effective cost management.
  7. Oversee and manage the progress of various contractors, ensuring tasks are completed on schedule and to high standards, and promptly report and address any changes.

Requirements

To be successful in this role, we are looking for someone with the following experience:

  • At least 6 years of proven working experience in event organization.
  • At least a bachelor's degree.
  • Fluency in both written and oral English.
  • Superior time management skills with a demonstrated ability to meet deadlines consistently.
  • Adaptability in working flexible schedules and alternative hours to ensure project deadlines are met.
  • Experienced in the Asia market is preferred.
  • Bilingual is preferred.
