About the Role:The Records Management Specialist plays a crucial role in ensuring the accuracy, accessibility, and security of records throughout their lifecycle. This position involves developing and implementing records management policies, overseeing physical and digital archives, and training staff on best practices.
Key Responsibilities:- Records Lifecycle Management: Oversee and manage the full lifecycle of records, including creation, maintenance, and disposal, ensuring adherence to retention schedules.
- Knowledge of Legislation: Ensure compliance with the Public Records Act and other relevant legislation while efficiently handling information requests.
- Training Programs and Materials: Create and maintain training sessions and materials on records management best practices, EDRMS use, and relevant legislation to enhance staff awareness and adherence to records management policies.
- Archival Management: Manage physical and digital archives in compliance with NZ standards, ensuring proper preservation and accessibility of both types of records.
- Information Governance: Implement and enforce information governance policies and procedures to ensure the integrity and security of records through adherence to governance frameworks.
- Electronic Document and Records Management System: Streamline digital records management by ensuring secure storage, easy retrieval, and proper indexing, while maintaining procedures and guidelines for consistency and compliance.
You'll be detail-oriented with a passion for preserving information, bringing strong knowledge management and record-keeping skills. Your technical proficiency in digitisation software, along with an ability to work collaboratively in a team environment, will be essential.
You will also have:
