About the Role

The successful candidate will provide administrative support to our Depot Manager and team, ensuring the efficient operation of our depot. This will involve maintaining office filing and support systems, distributing correspondence, and providing accurate and timely information to clients in accordance with organisational policies and procedures.

Key Responsibilities

  • Maintain accurate records and support systems, and distribute correspondence in a timely manner.
  • Provide administrative support to the Depot Manager and team, ensuring seamless communication with clients.
  • Process wages, staff details, and training records in EIFY, and process weekly timesheets.
  • Monitor and manage work orders, jobcards, and open orders, following up with suppliers as necessary.
  • Process purchase orders for spare parts, repairs, transport, and depot overhead costs, ensuring accurate authorisation and documentation.
  • Process Goods Received Notes and Delivery Dockets.
  • Monitor and address rejected invoices, incorrect accruals, and costs.

About You

  • Previous experience in the Plant and Equipment Hire industry, Procurement/Purchasing, or Office Administration is highly regarded.
  • Accurate and timely data processing skills, with a high attention to detail, are essential.
  • An appetite for the job and genuine interest in delivering exceptional customer service are required.
  • Demonstrated organisational and time-management skills, with a good understanding of accounts payable and receivable processes, are necessary.
  • Intermediate MS Office package skills, particularly MS Excel, and excellent data entry skills are required.
