Role Description:

The Admin Manager will oversee day-to-day administrative tasks, manage office operations, coordinate with internal teams, and ensure efficient workflow. Key responsibilities include invoicing management, accounts payable and receivable, payroll administration, Main Roads accreditation, and reporting & reconciliation. The role also involves supporting senior management and team members in these areas.

  • Invoicing Management: Ensure accurate and timely generation and dispatch of customer invoices, ensuring all necessary details and compliance requirements are met.
  • Accounts Payable & Receivable: Oversee and manage the accounts payable and receivable processes, ensuring that all invoices are processed, payments are tracked, and outstanding balances are resolved promptly.
  • Payroll Management: Administer the payroll process, ensuring accuracy, compliance with employment laws, and timely processing of payments.
  • Main Roads Accreditation: Manage and maintain the Main Roads accreditation process, ensuring the company remains compliant with industry regulations and meets all necessary standards.
  • Reporting & Reconciliation: Prepare regular financial reports, perform reconciliations, and assist in monthly and yearly audits.

Key Requirements:

  • Proven experience in an administrative role within the transport and logistics industry.
  • Strong knowledge of invoicing, accounts payable/receivable, payroll processing, and Main Roads accreditation management.
  • Excellent attention to detail and organizational skills.
  • Ability to work under pressure and meet tight deadlines.
  • Strong communication and interpersonal skills.
  • Proficiency in accounting software (e.g., Xero, MYOB) and Microsoft Office Suite.
  • Previous experience managing a team is highly desirable.
  • Knowledge of the transport and logistics industry regulations and compliance requirements, including Main Roads accreditation, is essential.
