Job Description

We are seeking an experienced Sales Administration professional to join our team. As a key cross-department position, you will be responsible for ensuring the smooth and efficient running of Sales, Service, and general office administrative aspects.

Your primary focus will be on Sales Administration (80%), which includes:

  • Maintaining machine stock inventory, for all incoming and outgoing stock
  • Allocating stock to customer orders, for shows or for demonstration
  • Procurement of machines for customer orders and stock orders
  • Ensuring Customer Purchase Orders & Sales Invoices are entered into the ERF system to ensure closing for weekly/monthly integration in the accounting system
  • Coordinating with the Sales team for start-up reports (SOFR) to be filled out systematically upon machine delivery and enter them in the OEM warranty portal
  • Managing Extended Warranty & Connected Machines submissions, including Connected machines administration, account/subscriptions set-up, invoicing, reconciliation

In addition to Sales Administration, you will also provide support for Services & Solutions Administration (15%), including:

  • Booking transport with local transport companies as requested for repair jobs if required
  • Coordinating technician travel booking
  • Ensuring the tool register, calibration/certificate is up to date
  • Maintaining Safety Data Sheets

As a General Office Administrator (5%), you will oversee the efficient running of the office on a day-to-day basis, coordinating matters that relate to the office, repairs, IT orders etc.
