Receptionist/ Administrator Role

Our organization seeks a skilled Receptionist/Administrator to empower older people in living a full life. The successful candidate will be responsible for ensuring accurate and timely data entry into client management systems.

Key Responsibilities:

  • Ensure accurate and timely data entry into client management systems.
  • Produce quality documents, including meeting agendas, meeting minutes, reports, memos, forms, and other documents required by the Facility Manager.
  • Organize deliveries and couriers as requested by the Residential Manager.
  • Maintain the visitor's book to reflect accurate visitation records.
  • Ensure that the reception administration area and meeting rooms are clean and presentable at all times.
  • Support roster management processes, timesheets, and payroll of the facility as requested.
  • Respond to internal and external communications appropriately and effectively within reasonable timeframes.
  • Order food, beverages, cleaning supplies, and maintain stationery stock for the office as required and routines needed.
  • Greet visitors and direct them accordingly in a friendly and polite manner, ensuring all visitors sign in and out of the premises.
  • Provide quality services to all inquiries from external and internal customers.

Requirements:

  • Certificate in Business Administration or equivalent (desirable).
  • Experience in an Administration/Reception position within Aged Care (desirable).
  • Proven experience with Rostering - Highly desirable.
  • Proficient in Microsoft Office (Excel, Word, Outlook).
  • Proven experience working on Reception meeting and greeting relatives and other external stakeholders.
  • Data entry into client management systems.
  • Undertaking banking and petty cash responsibilities.
  • Excellent communication skills both written and verbal.
  • Helpful, friendly disposition with a keen interest in Aged Care.
