The Medical Secretary Team Lead will play a vital role in ensuring the smooth operation of our clinics and patient satisfaction, while overseeing and coordinating our medical secretary team day to day.
This is an excellent opportunity for an experienced Medical Secretary to take on leadership responsibilities and further develop their skills. The successful candidate will be responsible for:
- Oversight of the medical secretary team to ensure comprehensive administrative support to cardiologists and a caring service to patients and families.
- Line management of direct reports, including managing key performance indicators for team members.
- Providing training and support for new and existing team members on patient enquiries.
- Attracting, engaging, and retaining medical secretary team members, fostering an inclusive and enthusiastic culture.
- Motivating and supporting team members to meet business targets.
- Ensuring induction and onboarding programs are executed to enable team members to complete their roles effectively.
- Delivering learning and development programs to meet ongoing business needs.
- Managing and organizing specialist cardiologist diaries for optimal appointment allocation and resource utilization.
- Scheduling and coordinating medical appointments, tests, and procedures with precision.
- Handling incoming calls from patients, medical professionals, and internal departments professionally.
- Welcome and arrival of patients with a warm, patient-centric approach.
- Accurately processing patient invoicing for medical appointments, tests, and procedures.
- Maintaining accurate records and data entry of confidential patient information.
- Efficiently managing and accessing medical records while ensuring confidentiality and data security.
- Facilitating effective communication between patients, cardiologists, and other medical professionals.
The ideal candidate will possess exceptional communication and interpersonal skills, a strong patient-focused approach, and high levels of organizational and time management abilities. They will also have proficiency in medical terminology, healthcare procedures, and standard office software. Experience in cardiology and a hospital environment would be highly regarded.
