We are seeking a skilled Facilities Manager to join our team at CITADEL Pacific Ltd. The successful candidate will be responsible for overseeing the day-to-day operations of our facilities, ensuring that they are well-maintained, safe, and secure.

This will involve managing maintenance teams, coordinating repairs and renovations, and supervising cleaning and upkeep. The ideal candidate will have a strong background in facilities management, with experience in managing maintenance teams, coordinating repairs and renovations, and supervising cleaning and upkeep.

Duties and Responsibilities
  • Facility Operations
  1. Develop and implement maintenance plans for buildings and grounds
  2. Oversee routine and preventive maintenance for HVAC, plumbing, electrical systems, and other critical infrastructure
  3. Coordinate repairs and renovations with contractors and service providers
  4. Supervise cleaning, overall upkeep and security and safety of the facilities
Safety and Risk Management
  1. Ensure compliance with local, regional, and national regulations, including health and safety standards
  2. Conduct regular inspections to identify and resolve safety hazards
  3. Manage fire safety systems, including alarms and sprinklers, and ensure regular testing and maintenance
  4. Establish safety programs and initiatives including protocols for accidents and incidents and its relevant reporting and documentations
  5. Leads the security team including protocols and SOPs
Financial Management
  1. Prepare and manage the facilities budget, including forecasting and cost control
  2. Analyze spending and identify areas for cost savings
  3. Oversee procurement of supplies and services within budget constraints
Vendor Partnerships
  1. Source, negotiate, and manage contracts with external vendors and service providers
  2. Monitor vendor performance to ensure service levels meet organizational standards
  3. Manages billing and payment issues related to facilities services
Space Planning and Management
  1. Plan and coordinate office space utilization and layout changes
  2. Manage space allocation for departments and employees including storage facilities
  3. Oversee the setup of new workspaces and the reconfiguration of existing ones
Emergency Preparedness and Response
  1. Develop and implement emergency preparedness and response plans
  2. Coordinate responses to facility-related emergencies and incidents
  3. Ensure the availability and maintenance of emergency equipment
Sustainability and Energy Efficiency
  1. Promote and implement energy-efficient practices and sustainability initiatives
  2. Monitor and report on energy consumption and waste management
Staff Supervision and Development
  1. Supervise and train facilities staff and contractors
  2. Conduct performance evaluations and address any staff issues
  3. Skillset alignment and flexibility to support on other service facets
Customer Service and Communication
  1. Serve as the primary contact for internal and external facility-related inquiries
  2. Address and resolve facility-related issues and complaints promptly
  3. Provides proper escalations and facilitation of customer requests
Administrative and Reporting Tasks
  1. Maintain accurate records of maintenance activities, repairs, and inventory
  2. Prepare reports and documentation as required
  3. Ensures inter-department coordination and support
  4. Proficient with the latest industry practices, standards and regulations including any amendments
  5. Assuring completion and up-to-date certifications and permits
