We are seeking a skilled Facilities Manager to join our team at CITADEL Pacific Ltd. The successful candidate will be responsible for overseeing the day-to-day operations of our facilities, ensuring that they are well-maintained, safe, and secure.
This will involve managing maintenance teams, coordinating repairs and renovations, and supervising cleaning and upkeep. The ideal candidate will have a strong background in facilities management, with experience in managing maintenance teams, coordinating repairs and renovations, and supervising cleaning and upkeep.
Duties and Responsibilities- Facility Operations
- Develop and implement maintenance plans for buildings and grounds
- Oversee routine and preventive maintenance for HVAC, plumbing, electrical systems, and other critical infrastructure
- Coordinate repairs and renovations with contractors and service providers
- Supervise cleaning, overall upkeep and security and safety of the facilities
- Ensure compliance with local, regional, and national regulations, including health and safety standards
- Conduct regular inspections to identify and resolve safety hazards
- Manage fire safety systems, including alarms and sprinklers, and ensure regular testing and maintenance
- Establish safety programs and initiatives including protocols for accidents and incidents and its relevant reporting and documentations
- Leads the security team including protocols and SOPs
- Prepare and manage the facilities budget, including forecasting and cost control
- Analyze spending and identify areas for cost savings
- Oversee procurement of supplies and services within budget constraints
- Source, negotiate, and manage contracts with external vendors and service providers
- Monitor vendor performance to ensure service levels meet organizational standards
- Manages billing and payment issues related to facilities services
- Plan and coordinate office space utilization and layout changes
- Manage space allocation for departments and employees including storage facilities
- Oversee the setup of new workspaces and the reconfiguration of existing ones
- Develop and implement emergency preparedness and response plans
- Coordinate responses to facility-related emergencies and incidents
- Ensure the availability and maintenance of emergency equipment
- Promote and implement energy-efficient practices and sustainability initiatives
- Monitor and report on energy consumption and waste management
- Supervise and train facilities staff and contractors
- Conduct performance evaluations and address any staff issues
- Skillset alignment and flexibility to support on other service facets
- Serve as the primary contact for internal and external facility-related inquiries
- Address and resolve facility-related issues and complaints promptly
- Provides proper escalations and facilitation of customer requests
- Maintain accurate records of maintenance activities, repairs, and inventory
- Prepare reports and documentation as required
- Ensures inter-department coordination and support
- Proficient with the latest industry practices, standards and regulations including any amendments
- Assuring completion and up-to-date certifications and permits
