Key Responsibilities:

  • Coordinate group reservation requests through various channels, ensuring a seamless booking process for group clients.
  • Maintain group and sales communication methods, meeting efficiency targets.
  • Work closely with the Sales and Revenue Departments regarding group rates and requirements.
  • Manage end-to-end group booking workflow using the IVvy system, including entering group reservation requests, preparing proposals and contracts for clients, and managing group bookings into Opera.
  • Coordinate all group reservations, paying particular attention to amendments, group requests, rooming lists, room allocations, deposits, and final invoices.
  • Communicate in a timely manner all client and group requirements, including special requests, to the appropriate department(s) and follow up to ensure requests are fulfilled in accordance with the client's requirements.
  • Complete client account reviews and post-group stay follow-up.
  • Assist in identifying new sources of business, including corporate accounts, external groups, residential conferences, and special events.

Requirements:

  • Experience with Opera PMS a must.
  • Experience with iVvy CRM preferred.
  • Excellent attention to detail.
  • Exceptional telephone etiquette and clear dictation.

  • Strong customer service skills with a sales focus.
  • The ability to work flexible hours, including weekends.
