We're seeking an Operations Coordinator to join our team at Operations Limited as an Executive Assistant. This role is a 12-month parental leave cover position that requires a highly organised and proactive individual with experience in managing diverse administrative and executive tasks.

You'll be responsible for handling office administration, supporting our executives with communication, task delegation, diary management, and collaboration. You'll also be a key member of our Sydney Content team, ensuring smooth operations and a pleasant work environment.

Your day-to-day tasks will include:

  • Managing the workload and priorities of three Executives, which requires understanding of objectives and strategy.
  • Coordinating the schedules of the three Executives, including appointments, meetings, and travel arrangements.
  • Prioritising and screening incoming communications, including emails, phone calls, and mail, and providing timely responses or redirects.
  • Preparing and reviewing documents, reports, and presentations for the Executives, ensuring accuracy, professionalism, and adherence to established guidelines.
  • Providing executive support, including diary management, expense management, inbox management, and travel bookings.
  • Managing administrative requirements of Executives, including invoices, travel processing, and setting up new starters.
  • Performing ad-hoc office management tasks, including ordering office supplies, coordinating team building activities, and other miscellaneous tasks.
  • Coordinating meetings, conferences, and events, both internally and externally, ensuring seamless logistics and timely execution.
  • Maintaining confidentiality and discretion when handling sensitive information.
