Job Title: Project Specialist - Commercial Operations Expert

We are seeking an experienced Project Specialist to join our commercial operations team in Australia. This is a Part-Time role, working 3 days per week, for a fixed term of 12 months.

This position will lead the capture and reporting of fundamental business performance data. This includes project scopes, inter-office collaboration, workload management, timesheets, and third-party costs.

The successful candidate will be responsible for producing monthly reports, analysis, and commentary on individual, departmental, and project data for senior management and the Group Commercial Manager.

The candidate will work closely with management to discuss utilization and business performance, identify areas for process improvement, and develop solutions.

A sound understanding of modern marketing agency operations and knowledge of general marketing campaign processes are essential for this role.

Key Responsibilities:

  • Present and discuss commercial and financial topics with confidence (e.g., P/L, utilization, and margin).
  • Support client project information, including SOWs and project burn-rates, and produce burn reports as needed.
  • Translate resource management tool output into resource planning actions.
  • Highlight process inefficiencies and work with the team to implement new processes.
  • Ensure accurate timesheet completion and regular review.

Project Management:

  • Define project scope, estimate time and resources, design project plans, create and monitor budgets, and ensure activities occur according to plan.
  • Keep clients informed of project progress and set expectations accordingly.
  • Manage the trafficking of client services, insights, creative, production, and digital deliverables to minimize costs and improve efficiency.
  • Collaborate with the team to identify process improvements and examine existing structures against client needs.
  • Contribute to debrief reports and identify ways to improve similar projects.

Financial Management:

  • Approve expenses, create POs, manage freelancer tracking, align with client SOWs, conduct monthly reporting, and ensure all requests are addressed.

Estimated Salary: AU$65,000 - AU$75,000 per annum, depending on experience and qualifications.
