Export Coordinator Job Description

Scolmore Group is a leading innovator in the industry, where opportunity meets innovation and success is a tradition. We are seeking an experienced Export Coordinator to bolster our Export team.

Main Responsibilities
  1. Coordinate the effective movement of goods globally, fulfilling internal and external customer orders, while adhering to customs and shipping requirements.
  2. Prepare international shipping documents, including Commercial Invoices, Packing Lists, CoO, CoC, EUR1, and ensure accurate HS Codes.
  3. Process customer orders and credits using Sage and other internal company programs.
  4. Monitor customer back orders, forward orders, and call off orders, running daily order status reports and monitoring customer activity to ensure timely completion and despatch.
  5. Ensure all orders are promptly put through to the warehouse and despatched with correct paperwork to clear customs, creating customer order sheets, box or pallet labels.
  6. Maintain and log all shipments in the Export Shipping Summary, following up with customers, freight forwarders, and Senior Export Coordinator on any issues.
  7. Obtain and file all export documentation from point of shipping, proof of export, e.g., C88 S/A Waybills, with filing to be completed within 10 days of despatch.
  8. Manage calls and queries from internal staff, customers, and Middle East office, ensuring prompt and efficient resolution in line with high customer service standards.
  9. Process inter-company orders using Sage or other internal company programs.
  10. Respond to queries regarding part numbers and technical information, supported by the technical department.
  11. Liaise with the Technical Team and assist with preparing power lead drawings for quotations.
  12. Liaise with other departments, including Warehouse, Data, Finance, Technical, and escalate any issues to the Senior Manager.
  13. Support Scolmore Middle East with their processes and training, escalating any issues where required.
  14. Support and assist the Scolmore Middle East General Manager and all Sales Managers, including preparing quotes, consolidating, and arranging goods movements to shows/exhibitions, and processing sample orders.
  15. Monitor and report on all export stock, coordinating stock movements between warehouses and group companies, including arranging reworks and bespoke orders with the Bespoke department and Sangamo manufacturing plant.
  16. Assist Middle East team with stock management between UK and Middle East Warehouses and process any stock adjustments when requested.
  17. Process Scolmore Middle East purchase orders when ordering direct from the factory, when requested.
  18. Process Scolmore Middle East Stock GRN's and posting of monthly stock invoices, liaising with accounts where necessary.
  19. Stay up-to-date with customs requirements, completing refresher training as and when required.
  20. Complete other tasks as assigned to support the export team and wider customer service team.

  9. Excellent computer skills and ability to use the full Microsoft suite of applications, particularly Excel
  10. Previous experience with Sage, SAP, or similar CRM database
