Process Optimization Specialist

About the Role:

We seek a seasoned Systems Professional to lead the development and implementation of our operational framework.

Main Responsibilities:
  1. Operational Alignment:
  • Elevate systemization in line with strategic objectives.
  • Identify bottlenecks across key functions, including recruitment, systems, sales, PM, projects, and marketing.
  • Prioritize system development initiatives driving growth, conversion, and performance.
Team Enablement & Development:
  • Create and maintain systems leveraging an organization's knowledge base.
  • Sustain and update systems as new projects and estates evolve.
  • Ensure seamless access and usability across all offices.
  • Train staff in organizational systems and processes.
Communication & Implementation:
  • Establish clear, step-by-step procedures aligned with current documentation.
  • Foster engagement among staff in system creation and improvement for buy-in, not just compliance.
  • Guide use of our technology stack.
  • Host workshops to embed tracking habits into daily routines.
System Governance:
  • Oversee continuous documentation of proprietary IP (database monetisation, recruitment engine, builder spec programs).
  • Capture all systems within an organization's central knowledge repository.
  • Link documented systems to performance scoreboards and project trackers.
Success Metrics:
  • All critical systems documented and accessible.
  • Reduction in 'Glitch Log' items tied to system gaps.
  • Improved agent onboarding speed and productivity.
  • Consistent adoption of systems across all offices.
  • Measurable time and error reductions in contracts, marketing, and client service.
Requirements:
  • Proven experience in Systems Coordination.
  • Demonstrated ability in documenting, implementing, and maintaining business systems.
  • Background in process-driven industries.
  • Attention to detail and strong organisational skills.
  • Technical proficiency in documentation tools.
  • Working knowledge of CRM/databases.
  • Excellent communication skills.
  • Ability to extract knowledge from stakeholders.
  • Able to influence without formal authority.
  • Self-starter with proactive approach.
  • Strategic thinker with detail-driven execution.
