Administrative Operations Specialist

This role involves overseeing daily office operations to ensure seamless execution of tasks.

The ideal candidate will have excellent interpersonal and communication skills, as well as the ability to work autonomously and as part of a team.

Key Responsibilities:
  • Coordinate office activities with staff, ensuring efficient service delivery.
  • Monitor and report on property maintenance, leasing, and subtenant issues in a timely manner.
  • Update health engine and online booking page to maintain accurate information.
  • Reduce patient and Doctor complaints, increase compliments by fostering a positive environment.
  • Coordinate and maintain accreditation standards.
Human Resources:
  • Assist with interviews as required by the medical director.
  • Provide orientation checklists to doctors on their first day of employment.
  • Coordinate changes in doctors and staff rosters to ensure smooth transitions.
  • Arrange for coverage during leaves and other absences.
Education, Qualifications, and Experiences:
  • Familiarity with Microsoft Office applications.
  • Completion of an accredited medical receptionist course or knowledge of medical terminology.
  • At least one year's experience in a medical receptionist or secretarial role.
  • Proficiency in using relevant software such as Pracsoft, Medical Director, and Best Practice.
  • Experience working with specific social groups serviced by the practice.
Accounts and Finances:
  • Follow up on outstanding accounts receivable.
  • Coordinate monthly purchase orders to manage expenses effectively.
  • Maintain accurate Medicare batching, exceptions, and rejections.
  • Verify billed patients for nurse incentives.
  • Reconcile workers' compensation and private billing accounts.

Selection Criteria:

  • Demonstrated ability to work collaboratively as part of a team.
  • Experience with Medical software (BEST PRACTICE/MEDICAL DIRECTOR).
  • Strong organisational and problem-solving skills.
  • Able to work efficiently in a fast-paced environment.
  • Excellent communication skills for interacting with internal and external stakeholders.
