Opportunity Summary

The Executive Assistant/Project Coordinator in our Executive Search function provides project coordination and administrative support to Senior Client Partners and Principals in our Technology practice.

This role involves coordinating and managing all opportunities and engagements, monitoring the process, ensuring completion of internal and external documentation, and attaching required documentation to relevant systems.

Key Responsibilities:

  • Extensive client liaison throughout the search process, including written, phone, and in-person communication.
  • Review and approval of monthly client billing invoices, monitoring accounts receivable aging detail, and assisting in timely account collections.
  • Drafting proposals, position specifications, and candidate resumes in coordination with other EAs and consultants/associates.
  • Preparing and editing Pitch Decks and proposals in PowerPoint.
  • Monitoring engagements exported or shared with other offices and/or consultants worldwide.
  • Producing written responses to resumes and phone contacts.
  • Reviewing reports from accounting to ensure accuracy and requesting corrections when necessary.
  • Providing periodic backup telephone/admin support for other Admins, consultants during absences.
  • Managing a high volume and variety of calls from clients, candidates, business development contacts, and job seekers.

Professional Experience/Qualifications:

The ideal candidate possesses:

  • Education to degree level or equivalent qualifications.
  • Excellent PowerPoint skills with high proficiency in the Microsoft Office suite (Outlook, Word, and Excel).
  • Five plus years of relevant experience supporting leaders and senior professionals within a Professional Services firm.
  • A high degree of professionalism and competence.
  • Strong work ethic and sense of personal and professional integrity.
  • Able to thrive in a highly stimulating environment.
  • Ability to relate to others in a positive and helpful manner, building credibility and positive relationships with all key constituencies.
  • Self-motivated, energetic, tenacious, with a 'can-do' attitude, willingness to accept new challenges, find out-the-box solutions, and work without direct supervision.
  • Excellent written and verbal communication skills, with a desire to communicate effectively at all levels within and outside the firm.
  • Able to manage and prioritize multiple tasks simultaneously.
