Job Title: Procurement and Administration Officer

We are seeking a highly skilled and experienced Procurement and Administration Officer to join our team at Magnetica. As a key member of our Supply Chain team, you will be responsible for overseeing the acquisition of goods and services, managing vendor operational relationships, and ensuring compliance with procurement policies.

Key Responsibilities:
  • Process purchase requisitions, purchase requests, and service orders in a timely manner.
  • Ensure accuracy and completeness of order details, including specifications, quantities, and timelines.
  • Monitor shipment and delivery schedules and address any delays or discrepancies.
  • Receipt of all delivery documentation and reconciliation of open orders.
  • Timely and proactive communication with staff to minimise impact from part unavailability, long-lead or obsolescence.
  • Develop and maintain positive relationships with suppliers, fostering open communication and collaboration.
  • Conduct regular market research to identify new suppliers and products/services.
  • Management of processes for the issue and returns of inventory.
  • Oversee inventory levels, ensuring adequate stock without overstocking, and manage reorder points.
  • Regularly report to the Supply Chain Manager on procurement activities, budget status, and vendor performance.
  • Review the supplier register, initiate re-evaluations, and submit findings for review and approval.
Requirements:
  • Working in a manufacturing environment for high-value, low-volume, complex electro-mechanical products.
  • Global sourcing experience – identifying alternate suppliers.
  • Awareness of logistics solutions and impact on cost-effectiveness and efficiency.
  • Experience working within a certified quality management system environment (e.g. ISO 13485, ISO 9001), ensuring items/materials/suppliers meet the necessary criteria and performance.
  • Experience in maintaining accurate and organised procurement records, adhering to internal policies and external regulations.
  • Knowledge of inventory management principles to optimise stock levels and minimise carrying costs.
  • Effective communication skills to collaborate with internal stakeholders, suppliers, and other relevant parties.
  • Ability to identify opportunities for process optimisation and implement best practices to enhance procurement efficiency.
  • A data-driven and analytical approach, backed up by strong EXCEL and MRP/ERP tools experience.
  • Accuracy, attention to detail, and completes tasks (a finisher).
  • Self-driven with good time management and prioritisation skills.
  • Ability to work under pressure and time constraints.
  • Resilience and a flexible approach to dealing with changing priorities and demands.
  • A willingness and ability to take on non-core tasks to support team goals.
