About the Role

Cooper Grace Ward is seeking a highly organized and detail-oriented Marketing and Events Coordinator to join its Marketing team on a contract basis for approximately 12 months. The successful candidate will be responsible for coordinating all events, including planning, execution, and logistics, as well as working closely with the Director of Marketing and Business Development to help Partners and teams across the firm to plan and implement their events program.

Key Responsibilities
  • Coordinate all events, including planning, execution, and logistics
  • Work with the Director of Marketing & Business Development to help Partners and teams across the firm to plan and implement their events program
  • Liaise with venue managers and suppliers regarding booking and logistics
  • Draft and send invitations in EDM software (HubSpot)
  • Coordinate invitations and mailing lists in CRM (HubSpot)
  • Upload events to firm website (WordPress) and other digital channels
  • Monitor events inbox for RSVPs and event participant queries
  • Work closely with CGW's internal catering team regarding orders for all client events, ensuring ongoing quality of food and presentation at events
  • Set up webinars and liaise with our IT team to ensure A/V equipment and facilities match our event requirements
  • Gain continuous client feedback on events
  • Ensure appropriate follow-up with clients after events, with support from other members of the Marketing team
  • Liaise with and organize external contacts (such as industry associations) who use our venues within the office
  • Utilize our marketing tech stack including Adobe Creative Suite (InDesign, Photoshop, Illustrator), Canva, WordPress, and HubSpot, among other systems
  • Work with other members of the Marketing team to implement communications and digital strategies for events, with an aim to increase event participation among existing and prospective clients
  • Provide a range of support on marketing tasks including website updates, graphic design, team photos, videos, podcasts, and other tasks that arise
Requirements
  • A marketing, communications, or events degree or similar qualifications
  • Excellent verbal and written communication skills
  • Superior organizational and time management skills
  • Exceptional attention to detail, particularly in written communication
  • A positive attitude and a collaborative, team-centric approach
