Administrative Coordinator - Export Operations

About the Role:

We are seeking a highly organized and experienced Administration Officer to join our team in Wangaratta. As an Administrative Coordinator - Export Operations, you will play a critical role in ensuring the smooth operation of export-related activities.

About You:

To be successful in this role, you will have proven experience in administration roles, preferably in manufacturing. Strong knowledge of export documentation processes, including commercial invoices, packing lists, certificates of origin, and customs requirements, is essential. Proficiency in using computer applications such as MS Office (Word, Excel, Outlook) and JDE is also required.

Key Responsibilities:
  • Prepare and manage export documents, including commercial invoices, packing lists, certificates of origin, and customs declarations.
  • Collaborate with internal departments and external stakeholders to ensure timely and accurate completion of export-related paperwork.
  • Maintain and update export records, ensuring compliance with international trade regulations.
  • Provide general administrative support such as data entry, filing, scheduling appointments, and managing correspondence.
  • Assist with inventory management, order processing, and scheduling.
  • Liaise with shipping companies, freight forwarders, and customs brokers to coordinate shipments and resolve any related issues.
  • Assist in coordinating logistics, including arranging transportation and tracking shipments.
Requirements:
  • Proven experience in administration roles, preferably in manufacturing.
  • Strong knowledge of export documentation processes, including familiarity with commercial invoices, packing lists, certificates of origin, and customs requirements.
  • Proficient in using computer applications such as MS Office (Word, Excel, Outlook) and JDE.
  • Excellent organizational skills with the ability to prioritize tasks and meet deadlines.
  • Strong attention to detail and accuracy in handling documents and data.
  • Effective communication skills, both written and verbal, with the ability to collaborate and coordinate with internal and external stakeholders.
  • Ability to work independently as well as part of a team in a fast-paced environment.
Salary:

The estimated salary for this role is $60,000 - $80,000 per annum, depending on experience.
