Practice Manager Job Description

We are seeking a highly motivated and experienced Practice Manager to lead our busy General Practices with the day-to-day running across 2 sites in Toowoomba.

The Role

The Practice Manager will be responsible for overseeing the day-to-day operations of our General Practices, ensuring smooth and efficient running of the practice. This includes managing support staff, coordinating GP registrars, and maintaining clinic policies and procedures.

Key Responsibilities
  1. Operational Management: Oversee day-to-day clinic operations, ensuring effective utilisation and flow of resources.
  2. Staff Management: Manage support staff, including nurses, receptionists, and cleaners, to ensure high-quality patient care and efficient practice operations.
  3. GP Registrar Support: Coordinate and support GP registrars, ensuring they have the necessary resources and support to provide high-quality patient care.
  4. Staff Rostering: Manage staff rosters to ensure adequate staffing levels and effective resource allocation.
  5. Daily Workload Management: Ensure effective management of daily workload, ensuring efficient utilisation of resources and minimal downtime.
  6. Clinic Policies and Procedures: Maintain and update clinic policies and procedures to ensure compliance with regulatory requirements and best practice.
  7. Recruitment and Workforce Planning: Participate in recruitment and workforce planning to ensure the practice has the necessary staff to meet patient demand.
  8. Cash Flow Management: Support cash flow management to ensure the practice operates within budget.
  9. Patient Inquiries and Complaints: Handle patient inquiries and complaints in a professional and timely manner.
  10. Facilities Management: Ensure the clinic and rooms are clean, tidy, and accessible to patients.
  11. Record Keeping and Reporting: Maintain accurate records and provide regular reporting to the management team as required.
  12. Efficiency and Profitability: Contribute to the development of a culture that maximises efficiency and profitability.
Requirements

The ideal candidate for this role will have:

  1. Previous Management Experience: Previous experience in a management role, preferably in the medical industry or a similar field.
  2. People Management Skills: Strong people management skills, including roster and performance management.
  3. Problem-Solving and Attention to Detail: Ability to problem-solve and attention to detail to ensure high-quality patient care and efficient practice operations.
  4. Leadership and Teamwork: Ability to build relationships and demonstrate leadership and teamwork skills.
  5. Compliance and Risk Management: Compliance and risk management experience to ensure the practice operates within regulatory requirements.
  6. Excellent Communication Skills: Excellent verbal and written communication skills to ensure effective communication with patients, staff, and management.
  7. Strong Organisational Skills: Strong organisational skills to manage multiple priorities and tasks.
  8. Ability to Travel: Ability to travel between locations as required.

This role will report to the Directors and Practice General Manager, responsible for the business and financial aspects of both practices.
