Transport Operations Coordinator

About the Role

We are seeking an experienced Transport Operations Administrator to join our team based in Kewdale, WA. In this role, you will support the Operations Manager to ensure site and financial administration functions are completed efficiently and in line with customer requirements.

  • Ensure all processes, policies, and procedures are followed, including customer interactions such as receiving orders, managing late pick-ups, and communicating service issues.
  • Manage and reconcile distribution records, including PODs, driver run sheets, and subcontractor payments to ensure accurate customer invoicing.
  • Complete branch payroll, ensuring accurate recording and payment of hours and leave through employee timesheet checks and input.
  • Assist with weekly and monthly financial reporting, including KPI tracking.
  • Reconcile and process payments for internal and external subcontractor invoices.
  • Maintain controls in SAP to ensure financial integrity of site activities.
Requirements

To be successful in this role, you will require:

  • 3+ years of experience in an administrative role within the transport or logistics industry.
  • Experience with financial and operational administration, including freight planning, invoicing, payroll, and payments.
  • Proficiency with systems such as SAP, Microsoft Office, and transport-related software.
  • Strong relationship-building skills with internal and external stakeholders.
  • Exposure to rail transport is highly regarded.
  • A commitment to providing high-level customer service to meet customer needs.
