We are seeking a Portfolio Management Assistant to join our team. As a Portfolio Management Assistant, you will provide exceptional customer service and administrative support to meet the needs of our clients.

This role involves working across multiple portfolios or locations, comprising various types of properties across multiple JLL Client Accounts. Assignments vary in duration from days, weeks to months.

Your key responsibilities will include:

  • Providing exceptional customer service to meet on-site client expectations.
  • Assisting in vendor management by ensuring subcontractors perform to required standards and inspecting vendors' work.
  • Supporting financial processes to ensure timely and accurate completion of financial management requirements.
  • Coordinating conference room bookings and preparing conference rooms for meetings, including ordering catering as required.
  • Performing weekly consumables orders, receiving and storing items, and providing receipts to the appropriate department for record-keeping.
  • Overseeing site cleanliness and providing direction to cleaning staff to ensure spaces are kept clean and tidy.
  • Organizing specialty cleaning as required.
  • Providing administrative support to the contract administrator to assist staff in obtaining and maintaining security clearances.
  • Assisting in carrying out safety procedures when needed and supporting the property risk management program.
  • Following established escalation and incident reporting procedures.

To be successful in this role, you will need experience in administration/facilities/project related roles, ability to provide short-term support with short notice, advanced Excel skills, proficient in Microsoft office suite, analytical and/or financial experience, excellent communication, organization, and interpersonal skills, goal-oriented with a focus on meeting performance targets, and ability to work well in a team environment.
