Timetabling Coordinator Job Description

We are seeking a highly skilled and experienced Timetabling Coordinator to join our team.

The successful candidate will be responsible for developing, managing and optimizing academic timetables of all courses, ensuring maximization of space across all campuses.

  • Create and publish the academic calendar including census and financial liability dates.
  • Prepare, publish and maintain examination timetables utilizing a range of systems and spreadsheets.
  • Support the Student Administration Manager in the creation of courses in SIS.
  • Evaluate and allocate rooms to achieve maximum usage capacity across all campuses and resolve scheduling conflicts effectively.
  • Optimize class sizes to meet room capacity and/or approved academic class caps.
  • Establish and maintain collaborative working relationships with academic and campus operations teams to create and revise course offerings; set up courses in the student information systems and create classes.
  • Support Student Administration Manager with projects related to timetabling solutions.
  • Assist in the enrolment process by creating timetables that strike a balance between effective space utilization, student preferences, course progression and academic staff availability.
Key Responsibilities:

Requirements:

  1. Relevant qualification or experience.
  2. Previous experience in a timetabling or scheduling role, preferably in the education sector.
  3. Proficiency in timetabling applications and intermediate to advanced Excel skills.
  4. Able to investigate, identify and analyze key issues and associated alternatives, benefits and costs to develop practical solutions.
  5. Demonstrated understanding of regulatory frameworks, including Higher Education Standards Framework (Threshold Standards) 2021, Standards for RTO's 2015, and National Code of Practice for Providers of Education and Training to Overseas Students 2018.
  6. Proficiency in Microsoft Office365.
  7. Excellent written and oral communication skills.
  8. Strong interpersonal skills with the ability to work autonomously and in a team.
