Administration Officer Stores Role Overview

The Administration Officer Stores plays a vital role within the correctional centre, responsible for assisting with stores operations and undertaking related administrative tasks.

Key Responsibilities:
  • Process and monitor the receipt of stores to ensure accurate inventory management
  • Reconcile deliveries received by the centre and investigate discrepancies
  • Maintain an efficient recording system for inward and outward consignments
  • Contribute to quality control, hygiene, and security of stores and storage facilities
  • Process internal requisitions for stock items in a timely and efficient manner
  • Maintain the centre's computerised stock control inventory, records, and system
  • Coordinate stocktake and warehouse processes to ensure accuracy and efficiency
  • Assist with the unloading of trucks and reception of goods
  • Assist in the ordering and issue of corporate wardrobe to staff members
  • Monitor outstanding purchase orders for receipt of goods and services
  • Operate and maintain the centre's prisoner canteen to provide essential services
  • Perform sales to prisoner services as required to meet demand
  • Process prisoner orders (buy-ups) received weekly and ensure timely distribution
  • Oversee prisoners working within the stores facility (canteen) to ensure adherence to standard procedures and processes
  • Assist prisoners in packing orders for distribution and monitor stock levels
  • Perform general administrative duties such as customer service, archiving, word processing, and telephone support
Requirements:
  • Demonstrated experience in administrative roles with a focus on inventory management and customer service
  • Excellent organisational and communication skills to effectively coordinate with colleagues and stakeholders
  • Able to maintain confidentiality and handle sensitive information
  • Familiarity with computerised systems and software applications
  • Ability to work in a fast-paced environment with multiple priorities
