Located in a vibrant business district, our client seeks a proactive and organized Administrative Coordinator to enhance their expanding team.

ROLE OVERVIEW:

As an Administrative Coordinator, your primary responsibility will be to provide comprehensive administrative and operational assistance to Directors, teams, clients, and stakeholders. You will play a crucial role in enabling the team to operate effectively and efficiently, ensuring exceptional client service and the achievement of business objectives.

KEY RESPONSIBILITIES:

  • Collaborate with team members, Directors, and Finance to facilitate monthly client billing, including the preparation, review, adjustment, and dispatch of invoices.
  • Oversee all forms of correspondence, including drafting and reviewing communications and managing incoming and outgoing mail.
  • Prepare various documents such as correspondence, client packages, reports, proposals, and tenders on behalf of the Directors and team.
  • Provide calendar management support, including scheduling meeting rooms, arranging catering, and preparing materials for meetings.
  • Coordinate and manage meetings, including preparing agendas and welcoming clients.
  • Lead the onboarding and offboarding processes for new clients and team members.
  • Assist in business development initiatives, including the creation of proposals and tracking referrals, successes, and challenges.
  • Organize team administration and engagement activities, as well as client functions and events.


REQUIRED SKILLS AND EXPERIENCE:

  • Proficient administrative skills
  • Prior experience in a customer service or administrative capacity
  • Ability to collaborate effectively across departments and with colleagues
  • Strong written and verbal communication skills
  • Experience in fast-paced environments with adaptability to competing priorities
  • High attention to detail with demonstrated initiative and problem-solving capabilities
