Event coordination plays a pivotal role in ensuring the seamless execution of gatherings at venues. The Event Coordinator is responsible for overseeing all aspects of bookings, guaranteeing an exceptional experience for attendees and venue hirers alike.

About the Role

This position involves coordinating administrative tasks associated with bookings, ensuring accuracy across all relevant information and documentation. Additionally, it entails assessing, planning, and allocating resources according to event requirements, including timely invoicing and cancellations fees.

Key Responsibilities:
  • Coordinate and complete administrative tasks related to bookings, ensuring precision and attention to detail.
  • Evaluate and allocate resources effectively to meet event demands, incorporating timely payment and cancellation procedures.
  • Manage and maintain accurate event details within the event management software and across all event folders and documents.
  • Negotiate and liaise with hirers, providing superior customer service to support community groups wherever feasible.
  • Maintain positive professional relationships with venue hirers, contractors, security personnel, caterers, staff, and external stakeholders.

In addition to the responsibilities outlined above, this role may involve other duties as directed by management from time to time, depending on skills range and capacity.

**Selection Criteria:**

  • Bachelor's degree in Event Management or a related field.
  • A minimum of 3 years' experience in a similar role, demonstrating expertise in event management and coordination.
  • Ability to interpret technical requirements and provide advice when collaborating with contractors.
  • Strong computer literacy skills, including proficiency in MS Office Suite.
