Facilities Management Specialist

The role of a Facilities Management Specialist is crucial in ensuring the optimal functioning of office facilities. Based at our Head Office in Melbourne, this part-time opportunity requires 5 hours of work per day, Monday to Friday.

Key Responsibilities:
  • Liaise with leaders and staff, building management, and external service providers to maintain safe and well-maintained office working environments.
  • Action timely, effective, and cost-efficient resolutions of facilities issues, requests, or hazards identified by staff or health & safety representatives.
  • Maintain a register of contractors for each site location.
  • Manage coordination of scheduled maintenance of equipment and services, including contractor site access and inspecting work.
  • Request facilities quotes, raise purchase orders, and process invoices for timely payment.
  • Monitor cleaning and waste management undertaken by cleaners and building management.
  • Ensure staff amenities, meeting rooms, and quiet spaces are clean and tidy.
About You:
  • Bringing experience in either facilities support or office management.
  • Understanding of workplace health and safety principles, hazards, and preventative measures.
  • Basic invoicing and purchase order processes knowledge.
  • Strong communication skills, planning, problem resolution, customer service, and time management skills.
