An esteemed financial services organisation in Sydney is seeking a dedicated Associate to join their Agency & Trustee business. This role offers you the opportunity to work within a highly respected team, supporting a diverse portfolio of clients and matters where the organisation acts as trustee of notes, agent, and security trustee.

What you'll do:

As an Associate – Agency and Trustee based in Sydney, you will play a pivotal role in supporting the management of client portfolios within the Agency & Trustee business. Your day-to-day activities will involve ensuring strict compliance across all aspects of operations while engaging directly with clients, external lawyers, third‑party service providers, and internal teams. You will be entrusted with reviewing complex deal structures, negotiating documentation terms, assisting in financial planning processes such as budgeting and forecasting, and facilitating smooth transactional workflows. By monitoring key systems like Client Connect and collaborating on payment processes with Operations colleagues, you will help maintain high standards of accuracy and timeliness. Your ability to communicate clearly—both internally with senior management and externally with stakeholders—will be essential for identifying risks early on and ensuring all obligations are fulfilled. Additionally, your willingness to assist others on projects or routine tasks will contribute significantly to the overall success of the team.

- Ensure all activities comply with organisational policies, procedures, transaction documents, the Corporation Act, and other relevant laws and regulations by maintaining rigorous oversight of client portfolios.

- Review deal structures thoroughly and negotiate documentation with clients or third parties to safeguard interests and minimise legal or operational risks.

- Assist the Manager in preparing and managing internal revenue reports, budgets, and forecasts for both client portfolios and the wider business unit.

- Maintain strong relationships with clients and external service providers by responding promptly to reasonable requests and facilitating clear communication channels.

- Support transactions involving Facility Agent and Security Trustee roles by negotiating documentation, highlighting onerous terms, obtaining necessary clearances, and seeking guidance from senior management when required.

- Collaborate closely with the Operations team to facilitate payments and monitor bank accounts as needed for seamless transaction execution.

- Monitor diaries in the Client Connect system regularly to ensure timely execution of trustee duties and full compliance with obligations.

- Liaise effectively with external solicitors and clients regarding the performance of Agent or Trustee duties to ensure all responsibilities are met appropriately.

- Report any potentially adverse events immediately to Senior Management and provide formal periodic updates in line with company policies.

- Assist with administrative tasks such as client billing, accounts receivable management, and support other team members on routine work or special projects within the Agency & Trustee business.

What you bring:

To succeed as an Associate – Agency and Trustee in Sydney’s financial services sector, you will bring proven experience from either an accounting firm or financial institution along with a relevant academic background such as business or law. Your technical expertise should include familiarity with Australian banking systems as well as corporate trust operations. Proficiency in Excel is important for managing analytical tasks related to budgeting or forecasting. Beyond technical skills, your capacity for careful review of documentation paired with exceptional attention to detail will set you apart when ensuring compliance. Your interpersonal strengths—such as empathy, dependability, collaboration—and your ability to communicate effectively across various stakeholder groups will foster strong working relationships both inside and outside the organisation.
