The ACLE Team is growing and we’re on the lookout for a Tender Coordinator to join us This exciting opportunity offers the chance to take ownership of the end-to-end tender process from preparation and coordination through to submission. Working closely with the Pre-Contracts Manager and a range of internal teams, you’ll play a key role in delivering high-quality, compliant, and compelling tender submissions that meet client requirements and reflect ACLE’s commitment to excellence.

Key Responsibilities

- Collaborate with the Pre Contracts Manager to identify potential tender opportunities in the solar, BESS & substation industries.

- Coordinate with cross-functional teams, including estimating, engineering, finance, legal, and project management, to gather the necessary information for tender submissions.

- Assist with the management to complete the tender process, including reviewing tender documents, creating timelines, assigning responsibilities, and ensuring adherence to submission deadlines.

- Develop a deep understanding of client needs and tailor tender proposals to address their specific requirements and concerns.

- Prepare and organize all supporting documentation, including technical specifications, cost estimates, project plans, and company credentials.

- Review and edit written content to ensure clarity, coherence, and consistency in messaging.

- Collaborate with graphic designers and visual content creators to enhance the visual appeal of tender submissions.

- Create and maintain a repository of standard tender content, ensuring consistency and accuracy across submissions.

- Research and analyse competitor tenders to identify trends, best practices, and areas for differentiation.

- Support negotiations with clients during the tender evaluation process, addressing queries and providing clarifications as needed.

- Contribute to the continuous improvement of the tendering process by identifying bottlenecks and suggesting process enhancements.

- Assist in developing and maintaining relationships with clients and stakeholders involved in the tendering process.

- Provide timely updates to the Pre Contracts Manager and management regarding the status of ongoing tenders.

- Collaborate with the legal team to ensure compliance with contractual and legal requirements in tender submissions.

- Stay updated on industry best practices for tender preparation, incorporating improvements into the tendering process.

What will you bring to this role?

- Proven experience in coordinating and preparing tender proposals, preferably in the renewable energy or construction industry.

- Strong organisational skills and attention to detail to manage multiple tenders simultaneously.

- Excellent written and verbal communication skills to effectively convey complex information in a clear and concise manner.

- Proficiency in using Microsoft Office suite and document management tools.

- Ability to work under pressure and meet tight deadlines.

- Experience in interpreting technical specifications and integrating them into tender documents - advantageous

- Familiarity with solar farm technologies and project requirements - advantageous
