Admin & Systems Support Officer (or Two Part-Time Roles)

About Us

Civil Sciences and Engineering is a Perth-based civil engineering consultancy delivering pavement, geotechnical, and civil design services across Western Australia and beyond. We’re a small but powerful team — agile, hands-on, and always finding smarter ways to work.

We’re now looking for a Jill (or Jack) of all trades — someone who’s as comfortable building Power Automate flows or writing a bit of Python code as they are preparing an SOP, onboarding a new employee, or helping troubleshoot a computer issue.

This is a rare opportunity to work directly alongside the Strategy & Operations Officer — the person responsible for keeping the company’s systems, compliance, IT, HR, and financial frameworks running. It’s a challenging but deeply rewarding role for someone who thrives in fast-paced, ever-changing environments.

About the Role

This is not a routine admin position. You’ll be supporting a broad range of systems that hold the company together — from automation and IT, to HR and finance.

You’ll be a key player in helping streamline processes, solve daily fires, and bring order and efficiency to an expanding business. One day you might be developing a Power Automate workflow or helping debug a VBA script; the next, you’ll be refining an internal audit checklist, reviewing an SOP, or setting up a new employee in Microsoft Entra.

Key Responsibilities

Based on your strengths, you may take on some or all of the following:

Digital Systems & IT Support

- Build, maintain, and improve Power Automate workflows and Power Apps.
- Assist with API integrations and light Python scripting for data handling or automation.
- Support and maintain Word and Excel VBA macros and templates.
- Provide hands-on IT assistance and manage user access across Microsoft Entra, Azure, and other admin centers.
- Help maintain company systems, data structures, and documentation.

Operations & Administration

- Develop, write, and maintain company SOPs and internal documentation.
- Support internal audits, ISO conformance (9001, 14001, 45001), and continuous improvement.
- Assist the Operations Manager with reporting, tracking, and resource coordination.
- Provide cross-departmental support for process or workflow improvements.

Finance & HR Support

- Help with bookkeeping, reconciliations, and financial analysis in Xero and Excel.
- Support HR processes including onboarding, offboarding, and record maintenance.
- Assist with policy and compliance documentation.
- Coordinate small business operational logistics (licenses, subscriptions, renewals, etc.).

About You

You’re the person who gets things done. You’re curious, proactive, and comfortable figuring out new systems and tools. You enjoy problem-solving and take pride in finding more efficient ways to work.

You’ll thrive here if you:

- Have experience working in a small business, consultancy, or engineering firm.
- Are a natural problem-solver who enjoys wearing many hats.
- Can switch between admin, HR, finance, and IT tasks without losing focus.
- Are confident using (or keen to master) Microsoft 365, Power Platform, and automation tools.
- Can work autonomously and handle multiple priorities calmly and professionally.

Technical Skills & Experience (desired):

- Power Automate, Power Apps, SharePoint, Teams, and Entra experience.
- Python scripting for automation or reporting.
- Word and Excel VBA.
- Basic API understanding (Power Automate connectors, REST, etc.).
- Xero or bookkeeping background.
- Understanding of ISO systems or internal audits.
- Experience in the civil engineering or professional services industry highly regarded.
- Must have direct Australian experience (administration, IT, or systems-related roles).
- Police clearance may be requested prior to employment.

Work Structure & Flexibility

We understand this is a broad role and may suit one highly capable person or two part-time specialists (e.g., one in Admin/HR, one in Systems/IT). Flexible hours or hybrid arrangements may be considered for the right candidate.
