Overview

Kennedys is seeking an enthusiastic legal secretary to join our friendly Melbourne office on a full-time, permanent basis.

Role

This role delivers comprehensive, proactive legal secretarial support to a Patner and team of experienced fee earners. Key responsibilities include managing litigation related administrative tasks for fee earners such as preparing documentation and claims, liaising with clients, courts and regulatory bodies, and overseeing client billing and business development activities.

Team

Kennedys has been operating in Australia since 2006 and currently employs over 250 people locally, with a global workforce of approximately 3,000. We handle both contentious and non-contentious matters across a broad range of industries, providing claim and coverage advice to insurers and insureds worldwide.

Key Responsibilities

- Producing a variety of draft correspondence and basic court documents for the Financial and Professional Lines team
- Assisting in handling of litigation, including completing pro-forma documentation and any other associated documentation in relation to the preparation of claims and litigation as directed by the lawyers
- Monthly billing using Elite 3E and liaising with the team's solicitors to ensure accurate quarterly client reporting
- Performing conflict checks and setting up new files accurately and speedily on instruction
- Attending to filing of documents in Courts and Tribunals and preparing documentation for service
- Email and diary management including electronic filing of emails in a timely manner
- Assisting with the preparation of briefs to counsel and experts (including collating documents and preparing indexes)
- Booking international and interstate travel and accommodation for fee earners on a regular basis
- Assisting with organisation of business development and marketing events for your team.
- Collaborating with local marketing and reception teams
- Attending to clients both on the telephone and in person in a professional manner

Required Experience

- Extensive experience in a similar Legal Secretary or Assistant role
- Experience with litigation and case and file management
- Experience using Elite 3E and iManage (or similar) is essential
- Strong attention to detail and well organised in approach to work
- Advanced Word skills with strong formatting abilities
- A true team player who enjoys working in a wider team of secretaries and support staff
