About the Role

The Executive Assistant provides high-level administrative and organisational support to the Managing Director, ANZ Private Bank, ensuring the effective and efficient management of their office and daily activities. This role acts as a key liaison between the executive, their leadership team, internal stakeholders, and external customers, maintaining confidentiality and exercising sound judgement at all times.

By proactively managing schedules, communications, and critical tasks, the Executive Assistant enables the senior leader to focus on strategic priorities and organisational objectives. The position requires initiative, discretion, and a commitment to upholding the professionalism and reputation of both the executive and the organisation.

What will your day look like?

As the Executive Assistant, you will be accountable for:

- Proactively managing the executive’s calendar, including scheduling meetings, appointments, and events, ensuring optimal use of time and minimal conflicts.
- Overseeing the executive’s inbox by prioritising, actioning, and responding to emails as appropriate, and flagging urgent matters for attention.
- Arranging domestic and international travel, including booking flights, accommodation, transport, and preparing itineraries as required.
- Processing and reconciling expenses in a timely manner, ensuring compliance with company policies and accurate record-keeping.
- Fostering and maintaining positive working relationships with colleagues, clients, and external partners, acting as a professional representative of the executive and the organisation.
- Demonstrating effective stakeholder management by liaising with internal and external parties, facilitating communication and collaboration across teams.
- Maintaining up-to-date knowledge of and ensure compliance with all relevant company policies, procedures, and regulatory requirements.
- Providing general business administration support as required,
- Supporting wider Private Bank activities and contributing to a positive and collaborative team culture
- Working closely with the Performance Lead on operational matters relating to ANZ Private Bank, ensuring alignment with organisational objectives and priorities.

You will be required to work closely with colleagues across the organisation, drawing on your excellent stakeholder management and influencing skills.

What will you bring?

To grow and be successful in the role, you will ideally bring the following:

- Significant experience in providing executive-level support within a corporate environment supporting senior executive(s).
- A proven track record in managing complex diaries, coordinating travel, and handling confidential information with discretion.
- Strong organisational, communication, and stakeholder management skills.
- Proficiency in Microsoft Office and other relevant business applications as well as the ability to learn quickly and adapt to new platforms and systems, including HR, expenses, and intranet tools
- Demonstrated ability to work proactively, prioritise tasks, and adapt to changing demands.
- Previous experience in financial services or a similarly fast-paced, regulated industry will be highly regarded.
