We are expanding our Australian footprint and looking to hire a **Bookkeeper** to work on a **full-time** basis who can add their built environment experience to our growing Sydney studio.

You will play a pivotal role in the success of our firm, working with the Director to help grow the business and contribute to the smooth operation of our practice. This role requires a proactive individual with strong business acumen, excellent organizational skills, and the ability to multitask in a fast-paced environment.

**Responsibilities**:

- **Generate monthly P&L reports** from Xero to set targets and budgets.
- Provide **valuable insights** into spending trends, cost-saving initiatives, and margin opportunities.
- **Generate monthly project profitability reports** to track time spent against fee allowance.
- Create and maintain a **rolling three-month sales forecasting, targeting, and achievement plan**.
- Create and maintain a **rolling three-month invoicing forecast and achievement strategy **to meet monthly financial targets.
- Collaborate weekly with the Associate on **production deadlines** to ensure work is completed on time to meet invoicing deadlines.
- Complete monthly accounting tasks, and quarterly **ATO submissions** (BAS and Super) timeously.
- Ensure team members timeously update weekly **timesheets** on Xero Project.
- **Track team member performance** on time management on a project-by-project basis on Xero.
- Ensure timely and accurate processing of all **supplier and contractor payments**.
- Execute the raising on Xero, sending and storage of all **invoices**.
- Maintain monthly project claim sheets to ensure **accurate billing per project**.
- **Manage monthly payroll** and ensure timely and accurate salary processing on Xero.
- **Monitor office inventory** levels and optimise organisational costs.
- **Streamline and improve administrative procedures** for increased efficiency.
- **Maintain Director’s calendar** for business and project team meetings.
- **Keep up-to-date the SQ1 CRM** with client and consultant details.
- Coordinate **domestic and international travel arrangements** for team members.
- Maintain an **organised filing system**, contact database, employee list, and inventory records.
- Provide efficient **personal administrative support to the Director**.

**Requirements**:

- **Proven experience** as a Bookkeeper or similar role, preferably in the architecture, engineering, or construction industry.
- Proficiency in bookkeeping software such as **Xero** and financial management systems.
- Solid understanding of basic accounting principles and practices.
- **Strong analytical skills** and attention to detail to ensure accuracy in financial data.
- **Excellent communication skills** to work effectively with our external accountant.
- Ability to **multitask, prioritize tasks and meet deadlines** in a fast-paced environment.
- **Discretion** in handling confidential financial information.
- **Previous experience** in a landscape architecture firm or related industry is a plus.
- Proficiency in **MS Office Suite** (Word, Excel, PowerPoint) and **CRM systems**.
