**DUTIES & RESPONSIBILITIES**
- Your responsibilities as an employee include:
- Follow the requirements of being a Child Safe school.
- Having a duty of care to ensure the safety, health and welfare of all staff, students, their parents, community members and other persons who are legally present on College premises.
- College premises may include places away from the College campuses such as a campsite or where College excursions may take place from time to time.
- Ensure understanding and compliance of the College OHS policy.
- Create a culture of safety that precipitates the development, maintenance and promotion of a healthy working environment.
- Complying with, to the best of your ability, all instructions given to you to ensure your own safety and health.
- Not misusing or damaging any equipment you use.
- Prompt reporting of any hazards or incidents/accidents to your Leader including damaged College property
**JOB REQUIREMENTS**
- Reception
The Admissions Officer - trainee will be the first point of contact with staff, students, parents, and all visitors of the College. This includes:
- Provide a professional and welcoming first point of contact to all staff and visitors to the College head office.
- Develop detailed knowledge and understanding of College programs.
- Ensure all contacts with internal and external stakeholders are professional
- Keep informed of the whereabouts of SEDA College office-based staff to ensure messages are dealt with efficiently.
Student Admission Process
The Admissions Officer - trainee will assist with the overall process of Student Admissions. This includes:
- Assist with the coordination of the SEDA admission process.
- Ensure all required documentation is received from new students enrolling in the College.
- Ensure all students entering a SEDA College program meet the criteria before being offered a position in the program.
- Process the outcome of student interviews, including sending offer/decline letters and online admission forms.
- Assist in the development of specific enrolment information for new students.
- Work with relevant staff to ensure enrolment tasks and objectives are met.
- Attend information sessions and interview days.
- Book student interviews.
- Ensure all staff receive required information prior to conducting student interview sessions.
- Ensure the student interview process is conducted in a professional manner and all students and parents receive quality, ongoing communication.
- Follow a clear process to acquire information and documentation from prospective students and organise a system for storing this information at SEDA Head Office.
- Assist with administrative aspects of the office including filing, data entry and archiving.
- Manage all incoming and outgoing mail, including couriers on a daily basis.
- Manage stationery and general office supplies, contact suppliers, order equipment.
Attendance
The Admissions Officer - trainee will be responsible for ensuring that student attendance is recorded in accordance to the College’s standard operating procedures and that Governance requirements are adhere to. This includes:
- Assume the responsibility of the College attendance officer for parents and guardians.
- Action the College attendance process daily accordingly to the standard operating procedure.
- Manage the attendance of the SEDA College WA cohort on behalf of all teaching staff.
- Action any bulk attendance or adjustments are reported directly by or programs coordinators.
- Following up with any staff that haven’t submitted attendance within the require timeframe.
- Providing feedback and assistance to staff regarding attendance codes.
