As an Admin Secretary at DENT SPOT you will play a key role in supporting the General Manager and Director in the day-to-day operations of business.

The main responsibilities & duties include, but are not limited to:

- Assisting the general manager with administrative and clerical tasks;
- Manage office G&A budget, ensure accurate and timely reporting;
- Assist in the onboarding process for new hires;
- Preparing reports, briefing notes and correspondence, proofreading documents;
- Schedule meetings and appointments as required;
- Liase with contractors and staff members to arrange meetings, and to gain and provide information as needed by the management;
- Maintaining appointment diaries and making travel arrangements for directors and staff members as needed;
- Assess and implement admin procedures and management decisions;
- Processing incoming and outgoing mail, filing correspondence and maintaining accurate records;
- Liaise with suppliers, partners, vendors and service providers;
- Answering and making telephone calls, responding to inquiries and redirecting callers;
- Maintain a good office condition, managing stock and purchasing office supplies, stationery, hardware etc;
- Handling of bookkeeping and petty cash;
- Ensuring a smooth cashflow by organising and accessing accounts payable and receivables.

**To be successful in this role we expect you to have**:

- Distinctive administration skills;
- Previous experience working in a support capacity as secretary and/or office manager;
- Excellent accuracy, organisational skills and attention to detail;
- Assertive and confident personality, team player;
- Strong communication skills both written and spoken by using appropriate literacy, grammar, vocabulary and tone;
- Effective time management competencies;
- Exceptional communication skills and an ability to communicate at variou levels within the organisation and external bodies;
- High commitment to confidentiality, producing quality work with a high level of professionalism;
- Knowledge of general administrator responsibilities, systems and procedures;
- Proficiency in MS Office (MS Excel and MS Outlook, in particular);
- Ability to work with professionals from various backgrounds, races and nationalities;

**Salary**: $75,000.00 - $85,000.00 per year

Schedule:

- 8 hour shift

Supplemental pay types:

- Overtime pay

**Education**:

- Advanced Diploma / Associate Degree (required)

**Experience**:

- Administrative assistant, Secretary and/or Recepcionist: 3 years (required)
