- The Document Controller will be responsible for providing document control and administration support for a wide range of infrastructure projects.
- The document control and administration functions will support all project management, contract management, design & engineering, site management, quality control processes and other project activities.
- The role will be required to develop and implement document control systems and process, working closely with project teams, responsible for managing and delivering building and construction works.

**Who we are**
The Australian Antarctic Division (AAD) is part of the Commonwealth Department of Climate Change, Energy, the Environment and Water. As primary agency for Australia's Antarctic Program (AAP), the AAD is responsible for achieving the Australian Government's Antarctic goals.

These goals are to:

- maintain the Antarctic Treaty System and enhance Australia's influence within it
- protect the Antarctic environment
- understand the role of Antarctica in the global climate system
- undertake scientific work of practical, economic and national significance.

The AAD also has responsibility for administering the Australian Antarctic Territory and the Territory of Heard and McDonald Islands.

The Assets and Technology (A&T) Branch provides and maintains the equipment and infrastructure to support the AAP. A&T Branch activities range from the maintenance of existing Antarctic stations and equipment through to the design, manufacture, testing, operation and procurement of advanced scientific equipment and systems. The Branch manages major infrastructure projects in support of AAP outcomes.

The Construction Projects Section is a key element of A&T and is responsible for the management, maintenance and engineering development of the built infrastructure at Australia’s Antarctic and sub-Antarctic stations. The section consists of an expeditioner workforce that carries out construction activities at the Antarctic and sub-Antarctic stations and, engineering and technical management group at the AAD’s head office in Kingston, Tasmania. It works closely with Design & Engineering and Antarctic Infrastructure Operations & Maintenance teams to deliver and maintain all critical life support systems.

**The Job**
The Document Controller will work with limited supervision from the Manager Construction to support good governance and project control processes.

In this role you will:

- Understand the different types of project documentation, including meeting minutes and agenda, drawings, schedules, specifications and reports, developed by technical disciplines (i.e. architecture, civil, structural, electrical, mechanical, hydraulics, fire protection etc.)
- Control the flow of documentation throughout the organisation and external parties, including commercially sensitive and confidential documents.
- Develop and implement document control systems and process that exemplify good governance practices.
- Provide access to documents upon request.
- Scan and upload digital versions of physical documents into the departments document management system.
- Create and version control document templates.

**Knowledge and experience**

- Knowledge in the building and construction industry providing document control and project administrative support for a range of building, engineering and/or infrastructure works would be of benefit.
- Experience using electronic records and document control processes and systems, specifically Micro Focus Content Manager (HPE CM10, TRIM or RM8).
- Experience working within teams to support the delivery of projects.
- Experience providing administrative support including preparing meeting documentation and developing standard report templates.

**Skills and capabilities**
- Exceptional attention to detail in checking documents for accuracy and up-to-date information.
- Process and manage documentation, including ingoing and outgoing correspondence, contracts, reports, briefs, designs, drawings, schedules, registers and specifications within a document management system.
- Demonstrated high level communication skills, both written and verbal with the ability to communicate effectively within a team.

**Desirable qualifications**
Proven or equivalent transferable experience with electronic records and document management systems, drawing management systems, project management systems and/or engineering management systems, in a project environment.
